Purpose of the Job
Coordinates the daily dispatch of goods, ensuring accurate planning, stock handling, and documentation. Maintains compliance with procedures, resolves issues promptly, and upholds health and safety standards.
Key Responsibilities
Operations
- Ensure that the Standard Operating Procedures are known, understood, followed, and maintained, so that dispatch procedures are carried out correctly
- Understand and be proficient in the use of the various systems used within the business
- Ensure effective daily planning of outbound stock in accordance with the volumes to be dispatched
- Plan staffing requirements effectively to manage the expected volumes
- Ensure that picking is accurately planned to meet volume requirements
- Ensure that sufficient materials and equipment are available to effectively carry out dispatching tasks
- Ensure that all stock is handled in a manner that maintains the condition of the stock and its packaging, including any specific product requirements
- Conduct investigations into any discrepancies in documentation, vehicles, seals, or products at the point of dispatch
- Communicate any relevant issues with the customer, when necessary
- Resolve all issues within 24 hours
- Escalate unresolved issues to the appropriate Manager
- Arrange vehicles as required, ensuring that they are booked and available on time for the dispatch of stock
- Ensure that handovers of stock to other operations are managed in accordance with the relevant system processes
- Ensure that all loading procedures are carried out correctly and in line with established procedures
- Ensure that all loads dispatched from the warehouse are properly secured prior to departure
- Manage and maintain the WIP (Work In Progress) report on a daily basis
- Maintain control of all documentation at all times, ensuring that all filing is accurate and up to date
- Analyse dispatch statistics from reports and take appropriate action based on the information
Quality, Health and Safety, and KPIs
- Ensure that dispatch KPIs are known, understood, measured, managed, maintained, and reported on a monthly basis
- Ensure that NCRs (Non-Conformance Reports), NCPs (Non-Conformance Procedures), and IOs (Improvement Opportunities) are raised daily
- Ensure that all NCRs, NCPs, and IOs are closed off within the required lead times (5 working days)
- Ensure that Health and Safety standards are upheld and that all requirements of the Occupational Health and Safety Act are adhered to
Minimum Requirements
- Grade 12 (Matric)
- Degree/diploma in supply chain/warehousing field beneficial
- 3 years relevant experience within the warehousing environment
