Branch Administrator

Purpose of the Job

The Branch Administrator plays a key support role in the day-to-day administration of the branch, ensuring Proof of Delivery (POD) processes are followed accurately and consistently. The role is responsible for maintaining accurate records, supporting drivers and operational activities, and ensuring customers receive timely and correct information. Working closely with internal teams, drivers, subcontractors, and customers, the Branch Administrator helps uphold high service standards, strong compliance, and efficient branch operations.

Key Responsibilities

POD Administration & Compliance

  • Action and report any delays in POD requests
  • Ensure high-quality and accurate imaging of express PODs before release to E-Docs and express archives
  • Verify that all required notification documentation is correctly attached and uploaded to shared folders
  • Monitor and strictly enforce the company POD Policy to minimise outstanding PODs across all express branches and subcontractors
  • Perform POD handover checks, ensuring quality and completeness of PODs received and escalating discrepancies where required
  • Monitor, control, and resolve POD exceptions, keeping them to a minimum
  • Clear all POD-related exception reports (daily and monthly)

Invoicing & Financial Administration

  • Match all invoices accurately for month-end distribution
  • Apply strict quality control to invoices issued with PODs
  • Ensure correct notification documentation is attached to all outgoing invoices

Data Capture & System Administration

  • Capture waybills for all freight accurately
  • Capture customer stock information and related POD data on the system
  • Maintain accurate and up-to-date records at all times

Customer & Stakeholder Relations

  • Follow up on PODs and communicate accepted PODs to customers timeously
  • Liaise daily with internal teams, external customers, and subcontractors to ensure accurate and consistent information flow

Operational & Driver Administration

  • Monitor collection bookings and allocate collections to the appropriate drivers
  • Ensure delivery addresses are captured correctly on all bookings
  • Debrief drivers on deliveries and collections
  • Process outsourced driver requests on the system as required
  • Record daily timekeeping for express staff and consolidate absenteeism reports

General Branch Support

  • Assist with operational functions as required
  • Monitor monthly stationery usage and place orders when necessary
  • Perform any additional duties assigned by management
Minimum Requirements
  • Grade 12 (Matric)
  • Relevant tertiary qualification advantageous
  • 3+ years’ experience in the courier industry responsible for invoicing
  • and purchase order administration
  • Experience working with E-Docs or similar system
