Dayshift Transport Supervisor

Purpose of the Job

Manage and supervise the fleet and staff in a manner that meets the Branch objectives, maximises profits, reduces costs, and meets customer requirements. This also includes maintaining MHE equipment, fuel bowers, and Linehaul planning.

Roles & Responsibility 

Operational

  • To ensure that vehicles are correctly allocated according to the load requirement sensible utilisation
  • Ensure drivers remain married to vehicles
  • Ensure the vehicles are dispatched on time as per dispatch cut-offs
  • Ensure vehicles are allocated as per specification
  • Ensure that route sheets are correct and submitted following Procedure
  • Ensure that all keys are properly controlled and access to vehicles restricted
  • On departure of vehicles, the following items are in place – Vehicle Key, Clawtainer, Checklist book, Trip sheet, Trolley, Straps, Chock Blocks, Load Bars, gate pass or Manifest, seal, lock and crew
  • Ensure that Return Procedure is in place; return inspection, the vehicle is cleaned, filled with diesel, parked and locked
  • Pre-trip and post-trip vehicle inspections are carried out by the drivers to identify any electrical or mechanical defects that need to be actioned immediately
  • Ensure all correct care is taken regarding tracking and monitoring all vehicles on route. A route sheet of all vehicles out on the road should always be present
  • Ensure that bookings of faulty tracking units are made immediately with C-Track to be repaired ASAP
  • Vehicle breakdowns and accidents must be handled efficiently to prevent failed deliveries and stock losses
  • Ensure all breakdowns, incidents and accidents are reported immediately to superiors
  • Investigate all accidents and complete accident forms and insurance forms. Accidents to be handled as per procedure – notification to Insurance within 24 hours
  • Ensure that Vehicle Accident Steering Committee are held and that all relevant information is sent through to Value Insurance in order to obtain a claim number
  • To ensure vehicle/s are sent for a quote and these quotes are sent to the relevant parties immediately – no delays
  • Ensure nightshift diesel attendant conducts tyre surveys daily
  • Maintaining and managing the diesel bowser
  • Planning local collected and received volumes for loading onto Linehaul vehicles
  • Linehaul bookings and confirmation
  • Managing diesel attendances
  • Registers and filing are correct and up to date

Fleet & Material Handling Equipment

  • Ensure that COFs are done 2 months before the expiry date
  • All services are booked correctly and on time
  • Ensure that vehicle tyre survey is done monthly
  • The equipment needed to clean the vehicles are in place
  • Ensure that all tracking units are operational
  • Ensure all vehicles are roadworthy and the following are in place: Valid license disc and COF
  • Vehicle condition is maintained as per the business-standard
  • Ensure vehicles are clean inside and outside at all times and that all
  • Ensure that the vehicle is sent for repairs once the quote has been authorised, and to ensure that the loan form for the recovery went through to
  • Ensure all forklifts are serviced on time
  • Load test on MHE is done on time
  • Ensure maintenance of MHE as per business standards

Quality, Health and Safety and KPIs

  • Ensure that customer KPIs are known, understood, measured, managed, maintained and reported on monthly
  • Ensure continuous improvement receives focus and is implemented
  • Ensure standards of Health and Safety are maintained
  • Ensure that all monthly checks are carried out as required
  • Ensure housekeeping standards are maintained daily

  • Km capturing
  • Robot report
  • Weekly Fuel Consumption

Staff

  • Ensure ongoing Training is carried out on an ongoing basis, including Drivers and Crew
  • Book Specific Training with DTA
  • Ensure all Staff reporting to you in the Transport Department have a Job Description, know the SOPs for their job function and adhere to these
  • Ensure correct dress codes are adhered to
  • Maintain discipline within the area of responsibility
  • Monitor staff performance
  • Effectively manage and control overtime worked
Minimum Requirements
  • Matric (Grade 12)
  • Supply chain/logistics certificate/diploma/ degree
  • Minimum 2 – 4 years experience in logistics

  • Can complete administrative procedures with necessary directions and systems at disposal
  • Able to apply basic health and safety procedures relevant to own work functions under direct supervision
  • Able to identify hazards and deal with them with direct instructions/guidance in place
