Operations Controller

Purpose of the Job

Ensure that all courier and Linehaul routes, both Air and Road, are managed efficiently and according to the agreed standards. To manage the Express Cape Town Branch in such a way that it achieves 100% effective Operational and Administrative Ratios. To ensure that the Client’s required standards are maintained at all times. To maintain costs and efficiency and ensure the most cost-effective routing and consolidations are done efficiently.

Roles & Responsibility 

Hub Function

  • Management of the freight as per request from the various clients
  • During the debriefing of vehicles, ensure effective debriefing of PODs and collections. Should a driver not return a POD, an immediate investigation must be instituted along with the Operations Manager
  • Assist in managing daily branch function, ensuring all vehicles depart & arrive on time at agreed times
  • Ensure freight is collected/lodged by the respective logistics partners
  • Ensure all driver’s checklists are actioned & debriefed; vehicles checked; mobile phones checked & signed out to the relevant driver and ensure the Express freight is out on delivery by 07h45 am
  • Maintain a presence on the warehouse floor while the parcel sorting function is being performed, ensure freight is routed correctly and manifested correctly
  • Ensure drivers have their Driver’s Licenses and a Valid PDP on their person at all times
  • Ensure drivers have attended the DTA Training bi-annually and all medicals are managed and actioned at least one month before the expiry. No Driver will drive unless they have a valid license
  • Ensure that the drivers are in possession of all of the above every morning and make a notation on the Checklist
  • Ensure freight on the floor and 1x1x1 Reports are clear. It is imperative to check on billing daily and close PODs daily
  • Ensure stats reports are completed, updated, and handed to the Branch Manager
  • Ensure that all non-conforming items are handled correctly as per claims procedure and advice and/or take corrective steps to prevent the re-occurrence of damages/losses. All claims are actioned within 48 hours of conclusion in conjunction with The National Operations Manager
  • Immediately highlight any matters of concern relating to the client to management‘s attention
  • The training actioned in conjunction with the Branch Manager’s Training sessions on a Monthly basis must be minuted, signed off by all parties, and a copy must be submitted to the National Operations Manager

Air & Road Freight

  • Ensure all airfreight is managed according to the agreed standards
  • Ensure all flight schedules are updated daily and make sure all freight is lodged on time
  • Ensure all incoming airfreight is received and cleared off the system, ensuring all freight has been received on arrival
  • Complete all airfreight documentation on time
  • Ensure all incoming Road Freight is received and cleared off the system, ensuring all freight has been received on arrival
  • Ensure all International and Over Border documentation is completed correctly and accurately
  • Ensure all freight is consolidated correctly, both Airline and Road Freight (Separate manifesting where required and direct flights to destinations)

Freight Tracking

  • Manage all Network Partner queries (tracking and reconciliation of collections/deliveries
  • Resolve queries regarding misrouted parcels, missing shipments, and KPI failures are resolved and or immediately brought to the Branch Manager’s attention, both verbally and in writing
  • Ensure daily report inputs have been actioned timeously
  • Ensure queries are actioned and closed within 45 minutes
  • Action quotes effectively

Liaison with Client 

  • Receive collection requests telephonically; action them immediately on Freightware and advise the client of the reference number applicable to the request
  • Receive, action and resolve queries within 45 minutes and close off query
  • Liaise with Network Partners to ensure client requests are carried out
  • Ensure clients are informed of new developments and services offered by Value Express in conjunction with the Branch Manager

Professional Skills

  • Knowledge of basic health and safety procedures applicable to own job functions

General

  • Ensure that they adhere to all company procedures and policies concerning (HR Policies, Dress Code, Smoking, Attendance, Audits, IT, and Standard Operating Procedures)
