Purpose of the Job
Supervise and control overborder deliveries and collections. Ensure all route KPI and cost targets are met as well as resources and vehicles are managed daily. Supervise the work of staff within the Supervisors area of responsibility in accordance to the Standard Operating Procedures pertaining to the operation(s) in which they work.
Key Responsibilities
Operational
- Supervise the work and processes of staff members within the area(s) for which you are responsible, in accordance with the Standard Operating Procedure pertaining to the operation
- Ensure that processes forming part of your area of responsibility are carried out according to the relevant Standard Operating Procedures
- Ensure that all Standard Operating Procedures are known, understood, documented, in place, managed, maintained, and enforced
- Ensure that all tasks and activities are carried out efficiently and effectively
- Resolve all issues raised within your area of responsibility
- Ensure all processes flow smoothly throughout the operation
- Ensure that checking of freight is done effectively to confirm that the condition, quantity, and description of the stock match the documentation
- Ensure all administrative tasks pertaining to your area of responsibility are carried out
- Generate, pull, manage, and maintain operational reports as required
- Investigate and resolve discrepancies, damages, shortages, and other queries
- Ensure that customer requirements are met
- Ensure daily in/out inspections of the fleet and maintain vehicles in a roadworthy condition
- Maintain professional conduct
- Report all accidents and damages
- Dispatch drivers for over-border operations, ensuring thorough briefing and debriefing processes are adhered to as per the SOP
- Issue drivers with petty cash for sleep-outs as planned, per PLATO trip planning
- Reconcile petty cash issued for sleep-outs, permits, and airtime immediately upon the driver’s return
- Verify the sleep-out allowance issued to a driver against actual days out. Update the controlling spreadsheet and debrief the spreadsheet on the day the driver returns
- Plan all outbound trips on PLATO daily, ensuring all waybills that are planned reflect correctly on the trip sheet
- Ensure PLATO trips are linked onto Fleet Vision. Escalate any problems encountered in this regard
- Ensure vehicle loading is precisely executed as per the trip sheet, starting with the last stop and working backwards
- Monitor Fleet Vision daily to ensure deliveries are executed as planned. Ensure all geofencing codes for stops are correct on Fleet Vision, and correct them if necessary
- Inspect to ensure that trips are closed/ended on Fleet Vision within 10 minutes of the vehicle returning to the depot after completing its route
- Check to ensure that all DPP points are maintained and corrected if any change in the delivery address is noted
- Collections – Conduct daily inspections for collections assigned to over-border routes. Assign collections or returns to drivers and ensure the return control procedure is followed correctly and swiftly
Staff
- Ensure that staff are motivated and productive
- Ensure that all staff are properly trained in all aspects of the operation
- Provide on-the-job training
- Ensure overtime is kept to a minimum and only required on an exceptional basis
- Ensure correct dress codes are adhered to
Quality, Health and Safety, and KPIs
- Ensure that customer KPIs are known, understood, measured, managed, maintained, and reported on monthly
- Ensure continuous improvement remains a focus and is implemented
- Ensure proactive actions are taken within the operation

Minimum Requirements
- Grade 12 (Matric)
- Degree/diploma in supply chain/logistics field beneficial
- 3 years of relevant experience within the logistics environment
