Site Supervisor

Purpose of the Job

The Site Supervisor represents Value Logistics on-site by efficiently managing the costs and fleet and making sure the customer receives the best possible service regarding deliveries.

Key Responsibilities 

Operational duties

  • Supervise and control staff attendance registers and absenteeism, ensuring that the optimal staff function is available on-site
  • Co-ordinate any site staff requirements with the Labour Broker and Key Account Manager
  • Ensure that site staff hours are correctly captured on Wage Keep
  • Co-ordinate, supervise and control all fuel-related processes in terms of bowser control, refuelling, fuel consumptions, EDC/Ned fleet Cards and reconciling of fuel usage schedules
  • Ensure that the overall fleet condition meets the requirements set out in the SEC Manual
  • Co-ordinate and control daily vehicle route planning, loading and offloading, customer documentation handover and dispatching of drivers
  • Ensure all documentary and outlined processes are adhered to concerning Accident Claims/ Product Claims and Breakdowns
  • Communicate effectively with the Key Accounts Manager relating to all operational and distribution activities
  • Conduct driver/customer-related training for on-site staff with regard to customer and value processes and procedures
  • If required, conduct daily handover to the Nightshift Supervisor or a responsible party in your absence
  • Co-ordinate and supervise the completion of pre and post-trip vehicle inspections, logbooks, workshop bookings, COFs and vehicle transfers
  • Control of Adhoc vehicle requirements
  • Ensuring that all driver documentation is valid and updated timeously in terms of PDPs, driver’s licenses and any required endorsements
  • Controlling the usage and issuing of all on-site staff PPEs and uniforms as required by site
  • Managing staff machine/equipment operator licenses
  • Ensure vehicle tracking is operational on all vehicles and that defective units are booked into workshop for repair
  • Ensure housekeeping is in order and the value workplace is always clean and tidy
  • Dispatch deliveries from the Trackmatic system and manage drivers’ route adherence on Trackmatic
  • Management of abnormal vehicle fleet and loads daily

Administrative duties

  • Ensuring the compilation and completion of operational reports: Daily Log, Utilisation Report, Absenteeism Report, Vehicles in Workshop Report, Fleet Checklist, Weekly Site Report, Fuel Consumption Report, Vehicle Tracking Reports,
  • Embrace Usage capture
  • Preparing schedules for billing purposes
  • Co-ordinate and control the issuing of all petty cash, related documentation, claims and reconciliations
  • Supervise the completion, handover and signoff of all customer-related documentation
  • Supervise the completion of monthly contracts and billing

Administrative duties

  • Construct and maintain strong customer relations by ensuring customer service levels are realised
  • Supervise and monitor all customer’s identified KPIs and service levels to ensure all targets are met
  • Compile and present any customer-required KPIs, reports, operational feedback and operational constraints
 Minimum Requirements
  • Grade 12 (Matric)
  • Fully computer literate (MS Word, Excel, Outlook)
  • 3-4 years of relevant working experience in the industry
  • Excellent interpersonal and communication skills
