Purpose of the Job
The Warehouse Management System (WMS) Analyst plays a critical role in ensuring the efficient operation and continuous improvement of warehouse systems. This role involves configuring, maintaining, and optimising the WMS to support accurate stock control, streamline warehouse processes, and meet both operational and customer requirements. The WMS Analyst acts as a key liaison between operational teams, IT, and system vendors, managing system implementations, upgrades, and process changes. In addition, the role supports data management, system testing, reporting, and user training, ensuring that the WMS is fully leveraged to drive productivity, accuracy, and performance across the warehouse function.
Key Responsibilities
Systems
- Understand and know how to utilise the various systems within the business
- Ensure that the WMS is correctly set up, tested, and commissioned within the warehouse operations so that each account is run in accordance with procedures required by the company and the customer
- Ensure structured management of the implementation and ongoing maintenance of WMS processes
- Ensure the WMS is configured to allow for optimal stock storage through maximum utilisation of space (ABC analysis)
- Coordinate changes and reconfiguration of the WMS effectively to ensure that day-to-day business operations are not adversely affected during the transition
- Gather and understand process requirements for effective process management via the WMS
- Configure the WMS according to agreed requirements in both test and live environments
- Maintain the WMS
- Configure, manage, and maintain product, location, and user profiles within the WMS
- Engage with WMS vendors for system change requests and additional functionality
- Draft business cases and perform cost/benefit analyses for WMS modifications and enhancements
- Investigate new system functional requirements and drive the design, approval, and development processes
- Take ownership of the WMS workstream during warehouse onboarding
- Contribute to IT BRS workshops and document WMS-related requirements
- Document BRS documents pertaining to WMS setup, including user groups and user access
- Set up Freightware in alignment with the WMS as per operational requirements
- Set up PC terminals and scanners
- Manage the labelling of staging, DP, RC, and racking locations
Master Data
- Collect and manage master data in the required format
- Configure master data for setup in the WMS in line with product storage requirements
Testing
- Conduct system testing prior to any process change go-live
- Ensure all relevant and required test cases are executed, documented with results, and implemented in a controlled manner
- Draft user acceptance testing (UAT) cases and prepare the system for UAT
- Conduct UAT as required
Training
- Train system users on processes and system functionality
- Train staff on the system during the onboarding of new operations
- Provide refresher training to ensure users have sufficient knowledge to support efficient processes
Reporting
- Develop effective, automated reports within the WMS; manage and maintain these reports
- Ensure full utilisation of all functionality and reporting features available in the WMS
- Provide reports on system changes, functionality, and progress to senior management on an ongoing basis
- Leverage the WMS to generate meaningful, effective reports aligned with customer KPIs, warehouse KPIs, productivity, stock movement, utilisation, etc
Improvements
- Continuously seek opportunities to improve the WMS and introduce new technologies.
Minimum Requirements
- Grade 12 (Matric)
- Logistics/warehouse/business management diploma/degree
- 5 years of experience in the logistics/warehouse industry with extensive WMS management and set up roles and responsibilities for at least 3 of the 5 years
